| | 8.8 Conclusion In order to create an effective resource which is accessible to different user groups, and easy to manage by you or your organisation, you must create documentation which describes the content and status of the resource and its constituent parts. This documentation does not have to be complex, but it should be created with an understanding of the broader environment in which your resources are created. It is better to create a few, simple metadata elements that you can ensure are interoperable and to fill them with accessible and appropriately-structured information than to attempt a complex cataloguing project with no reference to existing standards. The technology you use to store your metadata may also influence its structure. If you are working within an existing library or archival environment, you may wish to create metadata records for your objects in the cataloguing system used by that library. It is usually possible to export records to another format where they may be stored in a different structure if you wish to create interoperable metadata that has a broader application than merely part of a single institutional collection. You may wish to use a standard database package such as Microsoft Access or FileMaker Pro, which can be easily programmed to store any form of metadata structure, or you may store your metadata as text in html or XML. The most important rule for any documentation process is consistency. Once you make the decision to use a particular spelling, classification scheme or title convention you must always use the same rules for each record. Without internal consistency, your collection will be next to useless.
